All payments for Xpani AI subscriptions are final and non-refundable. Please read this policy carefully before purchasing a subscription.

1. General Refund Policy

Xpani AI operates a strict no-refund policy. All subscription fees paid to Xpani AI are final and non-refundable, regardless of the reason for cancellation or dissatisfaction with the service.

This policy applies to:

  • Monthly subscription payments
  • Annual subscription payments
  • Individual plans
  • Family plans
  • Upgrades and downgrades
  • All other fees and charges

2. Rationale for No-Refund Policy

We operate a no-refund policy for the following reasons:

  • Immediate Access: You gain immediate access to all premium features upon subscription
  • Digital Service: As a digital service, the product is "consumed" immediately upon access
  • Free Tier Available: We offer a comprehensive free tier for you to evaluate the service before subscribing
  • Clear Pricing: All pricing and features are clearly displayed before purchase
  • Service Costs: We incur immediate costs for AI processing, infrastructure, and payment processing

3. Cancellation Process

While we do not provide refunds, you may cancel your subscription at any time:

3.1 How to Cancel

  • Log in to your account
  • Navigate to Settings → Subscription
  • Click "Cancel Subscription"
  • Alternatively, email support@xpani.com with your cancellation request

3.2 What Happens After Cancellation

Important: When you cancel, you will retain access to paid features until the end of your current billing period. No refund will be issued for the remaining time.

  • Your subscription remains active until the end of the paid period
  • You can continue using all premium features during this time
  • At the end of the period, your account reverts to the Free Tier
  • You will not be charged for the next billing cycle
  • Your data and account remain intact
  • You can resubscribe at any time

4. Situations Where No Refunds Are Provided

We do not provide refunds in the following circumstances:

4.1 Dissatisfaction

If you are dissatisfied with the service, we encourage you to contact our support team at support@xpani.com. While we will work to address your concerns, no refund will be provided.

4.2 Lack of Use

Failure to use the service or unused subscription time does not qualify for a refund. You are responsible for managing and canceling your subscription before renewal if you no longer wish to use the service.

4.3 Forgot to Cancel

If you forget to cancel before your subscription renews, no refund will be provided. We send reminder emails before renewal, but it is your responsibility to cancel if you no longer want the service.

4.4 Employment Outcomes

Xpani AI is a tool to assist with your job search. We do not guarantee job placement, interviews, or employment outcomes. Failure to achieve desired employment results does not qualify for a refund.

4.5 Technical Issues

Minor technical issues, bugs, or temporary service interruptions do not qualify for refunds. We work diligently to resolve technical issues promptly. If you experience persistent problems, contact support@xpani.com.

4.6 Plan Changes

Upgrading or downgrading between plans (e.g., Individual to Family or vice versa) does not entitle you to a refund of the difference. Plan changes take effect at the next billing cycle.

4.7 Partial Billing Periods

We do not provide pro-rated refunds for partial months or years of service. If you cancel mid-cycle, you retain access until the period ends, but no refund is provided for the remaining time.

5. Limited Exceptions

In rare circumstances, we may provide refunds at our sole discretion:

5.1 Billing Errors

If we make a billing error (such as charging you twice for the same subscription), we will refund the incorrect charge.

5.2 Unauthorized Charges

If unauthorized charges occur due to fraud or a security breach on our end, we will issue a refund. You must report unauthorized charges within 30 days.

5.3 Extended Service Outages

If the service is unavailable for more than 7 consecutive days due to issues on our end (not including scheduled maintenance), we may provide a pro-rated refund for the affected period.

5.4 Legal Requirements

Where required by applicable consumer protection laws, we will provide refunds in accordance with those laws.

6. Chargebacks and Disputes

6.1 Contact Us First

Before initiating a chargeback or payment dispute with your bank or credit card company, please contact us at billing@xpani.com. We are committed to resolving billing issues fairly and promptly.

6.2 Chargeback Policy

If you initiate a chargeback:

  • Your account will be immediately suspended
  • We will provide evidence of your subscription and usage to the payment processor
  • If the chargeback is found in your favor due to legitimate fraud, your account will be reinstated
  • If the chargeback is found to be illegitimate, your account may be permanently banned
  • Repeated fraudulent chargebacks may result in legal action

6.3 Fraudulent Chargebacks

Filing a fraudulent chargeback (also known as "friendly fraud") for services that were legitimately provided and used may result in account termination and potential legal action. This is considered fraud.

7. Currency and Exchange Rates

Prices are displayed in your local currency. If your payment method is charged in a different currency:

  • Exchange rates are determined by your bank or payment processor
  • Currency conversion fees may apply
  • We are not responsible for exchange rate fluctuations
  • Differences in charged amounts due to exchange rates do not qualify for refunds

8. Taxes

Prices include applicable VAT, GST, or sales tax where required by law. Tax amounts are:

  • Calculated based on your billing location
  • Non-refundable as part of the total subscription price
  • Remitted to the appropriate tax authorities on your behalf

9. Family Plan Refunds

Family Plans are subject to the same no-refund policy:

  • The plan administrator is responsible for all charges
  • No refunds are provided if family members don't use the service
  • Removing family members does not entitle you to a pro-rated refund
  • Downgrading from Family to Individual plan does not provide a refund

10. Annual Subscription Policy

Annual subscriptions are paid in full upfront and are non-refundable:

  • You receive a discounted rate in exchange for paying annually
  • If you cancel an annual subscription mid-year, no refund is provided
  • You retain access for the full year you paid for

12. Changes to Service or Pricing

We reserve the right to modify features or pricing:

  • Existing subscribers will receive 30 days' notice of price increases
  • Price increases take effect at your next renewal
  • You may cancel before renewal to avoid new pricing
  • Feature changes do not entitle you to a refund
  • We may discontinue features with reasonable notice

13. Consumer Protection Rights

Certain jurisdictions provide consumer protection rights that may override this policy:

13.1 European Union

EU consumers have a 14-day "cooling off" period under the Consumer Rights Directive. However, by subscribing and immediately accessing digital content, you explicitly waive this right.

13.2 Australia
